Executive Assistant

Key Responsibilities:

  • Provide direct administrative support to the Director of Operations and The President/CEO, managing schedules, appointments, correspondence and assist with meeting preparations
  • Assist with recruiting efforts, including job postings, application tracking, and interview coordination.
  • Support employee training by organizing materials, scheduling sessions, and maintaining training records.
  • Assist with marketing tasks, including updating promotional materials, coordinating social media content, and organizing community outreach efforts.
  • Handle general administrative duties, such as preparing reports, maintaining confidential records, processing paperwork, filing and maintaining archives
  • Coordinate with vendors, staff, and families for memorial services and events.
  • Assist with financial administration, including invoices, expense tracking, and payroll support.
  • Run business-related errands, including deliveries, supply pickups, and vendor visits.
  • Ensure compliance with cemetery policies and local regulations.
  • Conduct research, compile data and prepare materials to support the decision-making process
  • Attend events and trainings on and offsite
  • Act as a liaison between departments, maintaining a positive team player attitude
  • Ability to maintain professionalism in high pressure situations and meet deadlines
Qualifications:
  • 3+ years of Executive assistant experience. Experience in customer service, marketing, or HR a plus
  • Strong proficiency in Microsoft Office, advanced in excel a plus and experience with database management.
  • Excellent organizational, multitasking, and time management skills.
  • Strong written and verbal communication skills.
  • High level of discretion when handling confidential information.
  • Valid driver’s license and have your own reliable vehicle for running business errands.
  • Ability to lift 25 lbs., climb stairs, bend, sit or stand for a period

Work Conditions:
Office setting with prolonged time sitting at a desk in front of a computer
 
Driving or walking to other buildings on our property
 
May need to run errands or attend events during different weather conditions
 
Office hours Monday – Friday 830-430. 
 
Attend occasional events after hours or on weekends
